Treat Your AI Training Like a Business Asset, Not a Platform Feature

If you’re training an AI agent with your processes, prompts, brand voice, FAQs and client details, you’re building something valuable. The risk is platform lock-in: you invest months teaching one system, then a pricing change, a feature shift, or a better tool comes along, and you feel stuck.

The fix is simple: keep a “source of truth” outside any one platform. Think of it like backing up your website or your accounting. Your AI should be able to move with you.

Here’s the mindset shift: your agent is the interface, but your knowledge is the engine. Protect the engine.

The tool to use is the AI Portability Pack — a lightweight, repeatable backup system.

Create one folder in Google Drive (or wherever you store core business files) called “AI

Portability Pack.” Inside, keep these items updated:

Brand Voice Sheet (1–2 pages)

  • Tone words (warm, direct, etc.)
  • Do/Don’t list (words you avoid, formatting rules)
  • Example posts/emails you love

Prompt Library (a single doc)

  • Your “best prompts” for common tasks
  • Notes on what good output looks like
  • Variations by client or audience

SOPs + Checklists (PDFs or docs)

  • Onboarding steps
  • Content workflow
  • Approval process
  • Any repeatable client delivery process

Knowledge Base (FAQs + objections)

  • Your top 25 questions clients ask
  • Your best answers
  • Pricing language and boundaries

Training Examples (before/after)

  • A few real inputs and the ideal outputs
  • These are gold for retraining any new tool fast

Every Friday, drop in anything new you taught your agent: a refined prompt, a better email response, a new checklist. If you ever switch platforms, you’re not starting over. You’re simply importing your Portability Pack and getting back to work fast.
